Administrative Assistant – Distribution Operations

Position Summary
We are seeking a highly organized, detail-oriented Administrative Assistant to support daily operations within a fast-paced distribution center environment. This role is critical to maintaining accurate records, supporting communication between departments, and helping leadership execute operational priorities. The ideal candidate thrives in structured environments, can manage multiple tasks simultaneously, and is comfortable working with a diverse workforce.

Key Responsibilities

  • Provide administrative support to site leadership, including calendar management, meeting coordination, and document preparation
  • Maintain accurate operational records including staffing logs, attendance tracking, safety documentation, and compliance files
  • Assist with data entry, reporting, and preparation of operational metrics for leadership review
  • Support payroll-related documentation and coordination with centralized HR
  • Coordinate translation resources and assist with communication distribution across multilingual staff groups
  • Maintain filing systems (digital and physical) for operational, financial, and HR-related documentation
  • Order and track office and facility supplies
  • Assist with onboarding logistics including paperwork coordination and training scheduling
  • Support internal audits and corporate reporting requests
  • Act as a communication hub between operations, corporate teams, and facility staff

Required Qualifications

  • 2+ years of administrative or office support experience (distribution, manufacturing, or logistics environment preferred)
  • Strong organizational and time management skills
  • High attention to detail and data accuracy
  • Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint)
  • Ability to handle confidential information professionally
  • Strong written and verbal communication skills

Preferred Qualifications

  • Experience supporting operations leadership in warehouse or distribution environments
  • Experience working in multilingual workplaces
  • Basic understanding of payroll, HR documentation, or compliance recordkeeping
  • Experience with ERP or warehouse management systems (WMS)

Work Environment

  • Fast-paced distribution center environment
  • Regular interaction with operations staff, leadership, and corporate partners
  • Combination of desk-based administrative work and floor coordination as needed
